Front Desk Executive
Job description:
We are looking for an energetic and detail-oriented Front Desk, Sales cum Shoot Inventory Assistant to handle reception duties, support sales activities, and manage shoot-related inventory. This role requires excellent communication, organizational skills, and the ability to coordinate film shoot logistics including tracking equipment, props, and materials.
Key Responsibilities:
Front Desk & Administration-
- Welcome and assist visitors, clients, and team members in a professional manner.
- Manage phone calls, emails, and general inquiries.
- Maintain front office supplies, cleanliness, and records.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Handle incoming and outgoing correspondence, couriers, and deliveries.
- Maintain visitor logs and manage access protocols.
Sales Support-
- Assist the sales team with lead generation and follow-ups.
- Draft and send cold emails to prospects.
- Maintain CRM/database with client and project details.
- Prepare sales reports and updates for management.
- Support client meetings, presentations, and pitch preparations.
Shoot Inventory Management-
- Maintain accurate records of shoot-related inventory including equipment, props, costumes, and materials.
- Track inward (purchases, rentals, vendor deliveries) and outward (shoot dispatches, returns) movements.
- Coordinate with production teams to ensure required items are available on time.
- Work with vendors/suppliers for rentals, purchases, and returns.
- Conduct regular stock checks and reconcile with physical inventory.
- Prepare inventory reports for management and production teams.
- Flag shortages, damages, or losses immediately for quick resolution.
Requirements:
- Bachelor’s degree in Business, Media Management, or related field preferred.
- 1–3 years of experience in front desk, administration, sales support, or inventory roles.
- Strong verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Ability to multitask and manage time effectively.
- Organized, proactive, and detail-oriented with a service mindset.
